About the Department of Foreign Affairs and Trade
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.
The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.
About the position
Under general direction, the Administrative, Passports and Consular Assistant delivers passport and notarial services to Australian citizens living in and travelling to Kuwait in accordance with Australian legislation and guidelines. The position also provides administrative support including financial processing, and the coordination and monitoring of property related activities.
The key responsibilities of the position include, but are not limited to:
- Provide a range of passport services, including client interviews, to Australian citizens in accordance with departmental guidelines and the Australian Passports Act.
- Provide a range of consular and notarial acts and services and operate consular and passport related databases and filing systems.
- Maintain notarial and passport records and statistics and assist with the preparation of the Embassy’s consular and emergency planning function.
- Undertake reception and switchboard (PABX) duties, liaise with stakeholders and respond to routine consular and passport enquiries from the public.
- Perform cashier duties and receive, keep in safe custody and account for public monies in accordance with relevant financial policy guidelines.
- Maintain the online appointment system, group inboxes and the Contact Database.
- Prepare incoming and outgoing unclassified diplomatic mail.
- Undertake general administrative duties, including financial processing, procurement activities, updating property management records and undertaking property related activities including contractor management.
- Perform other duties and back up the Consular, Protocol and Translation Officer and the Corporate Services Officer as required.
Qualifications/Experience
- Previous experience providing administrative and financial processing support.
- Demonstrated knowledge or experience in passport and notarial services.
- Sound written and oral communication skills in English and Arabic.
- Strong client liaison skills and a sound capacity to exercise discretion and judgement.
- Ability to multitask, prioritise and meet tight deadlines.
- Proficiency in Microsoft Office software applications, and the ability to use databases.
